Marlo Technologies Ltd ("Marlo", "we", "us", or "our") provides a recruitment workspace, CRM, and AI matching platform (the "Service"). This Privacy Policy explains what personal data we collect, why we collect it, how we use and share it, and the rights you have over it. We act as a data controller for information about our own users and website visitors, and as a data processor for the candidate and client data our customers store in the Service.

When you create an account, subscribe to a plan, contact support, or book a demo, we collect details such as your name, work email, company name, job title, billing information, and any content you submit to us.
Our customers — recruitment firms — upload and manage data about candidates and clients. This may include names, contact details, CVs, employment history, and notes. We process this data solely on our customers' instructions under our Data Processing Agreement. If you are a candidate and want your data corrected or removed, please contact the agency that holds your record; we will assist them in responding.
When you use the Service or visit our website, we collect device and usage information such as IP address, browser type, pages viewed, and timestamps, using cookies and similar technologies (see Section 7).

Marlo's matching features use machine learning to score and rank candidate profiles against open roles. These scores are decision-support tools — they assist recruiters, who remain responsible for all hiring decisions. We do not use Customer Data to train models that are shared across customers, and we never sell personal data. A customer may disable AI features at any time from their workspace settings.

Customer Data is hosted in the European Union by default, with UK hosting available on Enterprise plans. Where data is transferred outside the UK or EEA, we rely on adequacy decisions or the Standard Contractual Clauses, together with appropriate technical safeguards.
We use strictly necessary cookies to run the Service, plus optional analytics cookies to understand usage. You can manage your preferences at any time through our cookie banner. Non-essential cookies are only set with your consent.
We keep account and billing data for as long as your account is active and for up to seven years afterward where required for tax and accounting. Customer Data is retained according to our customers' instructions; after an account closes, we make it available for export for 30 days and then delete it within 90 days, unless a longer period is legally required.
We protect personal data using encryption in transit and at rest, role-based access controls, continuous monitoring, and regular third-party penetration testing. Our infrastructure is ISO 27001 certified and SOC 2 Type II audited. No system is perfectly secure, but we work hard to keep your data safe and will notify affected users and regulators of any qualifying breach without undue delay.
Depending on your location, you may have the right to access, correct, delete, or port your personal data, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, email privacy@marlo.com. You also have the right to complain to a supervisory authority — in the UK, the Information Commissioner's Office (ico.org.uk).
The Service is intended for business use and is not directed at anyone under 16. We do not knowingly collect personal data from children.
We may update this Policy from time to time. If we make material changes, we will notify account holders by email or in-app notice before they take effect. The "Last updated" date at the top reflects the latest revision.

These Terms of Service ("Terms") are a binding agreement between you ("Customer", "you") and Marlo Technologies Ltd ("Marlo", "we", "us"), a company registered in England and Wales (company no. 14820356) with its registered office at 14 Rivington Street, London EC2A 3DU. They govern your access to and use of the Marlo recruitment platform, websites, and related services (the "Service"). By creating an account, signing an order form, or using the Service, you agree to these Terms. If you are entering into them on behalf of an organisation, you confirm you have authority to bind that organisation.
Marlo provides a cloud-based recruitment workspace, CRM, AI candidate matching, and analytics, delivered on a subscription basis. We may update, improve, or modify features over time. We will not make changes that materially reduce the core functionality of a paid plan during your current term without notice.
You must provide accurate account information and keep it up to date. You are responsible for safeguarding your login credentials and for all activity that occurs under your account. You must be at least 18 years old and use the Service only for lawful business purposes. Notify us promptly of any unauthorised use at security@marlo.com.
The Service is billed per recruiter seat according to the plan you select. Fees, seat counts, and billing frequency are set out at sign-up or in your order form.
We may offer a demo and a guided evaluation period. Evaluations are provided "as is" and may be modified or ended at any time. Continued use after an evaluation requires a paid subscription.
Fees are payable in advance and are non-refundable except where required by law. Monthly plans renew monthly; annual plans renew annually unless cancelled before the renewal date. Upgrades take effect immediately and are prorated; downgrades take effect at the next renewal. We may suspend access for overdue payment after reasonable notice.
Fees are exclusive of VAT and other applicable taxes, which you are responsible for paying.
You retain all rights to the data you upload to the Service ("Customer Data"). You grant us a limited licence to host, process, and transmit Customer Data solely to provide and support the Service, as further described in our Privacy Policy and Data Processing Agreement. You are responsible for having a lawful basis to process the personal data you upload, including candidate data.
You agree not to:
Marlo's matching and enrichment features are provided as decision-support tools. Outputs may be incomplete or inaccurate, and you remain solely responsible for all hiring and business decisions. You agree to use AI outputs in a manner consistent with applicable anti-discrimination and employment laws.
The Service, including all software, designs, and trademarks, is owned by Marlo and its licensors and is protected by intellectual-property laws. Except for the rights expressly granted to you, no rights are transferred. Feedback you provide may be used by us without restriction or obligation.
Each party may receive confidential information from the other. The receiving party will protect it with reasonable care and use it only to perform under these Terms. This does not apply to information that is public, independently developed, or lawfully obtained from a third party.
We aim to keep the Service available and provide support appropriate to your plan. Enterprise plans may include a 99.9% uptime SLA set out in a separate agreement. Planned maintenance will be communicated in advance where practicable.
We warrant that the Service will perform materially in accordance with its documentation. Except as expressly stated, the Service is provided "as is" and "as available", and we disclaim all other warranties to the fullest extent permitted by law, including implied warranties of merchantability and fitness for a particular purpose.
To the maximum extent permitted by law, neither party will be liable for indirect, incidental, or consequential damages, or for lost profits or data. Each party's total aggregate liability arising out of these Terms will not exceed the fees paid by you to Marlo in the 12 months preceding the event giving rise to the claim. Nothing in these Terms limits liability that cannot be limited by law.
These Terms apply for as long as you use the Service. Either party may terminate for material breach not cured within 30 days of notice. On termination, your right to use the Service ends, and we will make Customer Data available for export for 30 days before deletion, as described in our Privacy Policy.
We may update these Terms from time to time. If we make material changes, we will notify account holders by email or in-app notice before they take effect. Your continued use of the Service after changes take effect constitutes acceptance.
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, without prejudice to any mandatory consumer protections in your country of residence.
